Role & seniority: Virtual Assistant (entry/early-mid level) supporting driver verification operations; full-time, month-to-month contract.
Stack/tools: Internet research tools; email, electronic fax; internal systems; secure document transmission/storage; familiarity with driver history forms and DOT/compliance processes.
Conduct driver employment and safety verifications (research, initiate requests, outbound follow-up, track progress).

About the Role We are seeking a detail-oriented and proactive Virtual Assistant (VA) to support high-volume driver verification operations for a trucking organization. This role is critical to ensuring timely completion of employment, safety, and compliance verifications for commercial drivers. The ideal candidate is highly organized, persistent in follow-up, comfortable communicating with external contacts, and capable of managing sensitive data with strict confidentiality.
Key Responsibilities Driver Employment & Safety Verification β Research prior employers and relevant contacts using online tools and databases β Initiate verification requests via email, electronic fax, or other approved channels β Conduct outbound calls to confirm contact information and submission details β Follow up consistently until completed verifications are received β Track progress across multiple requests per driver application β Maintain documentation and status updates in internal systems
Process Coordination β Manage verifications covering the past three years of employment history β Obtain drug and alcohol, safety, and accident history reports from previous employers β Handle high-volume workloads where a single application may involve multiple employers (often up to 10) β Ensure completion within internal turnaround targets
Data Security & Compliance β Handle confidential personal information (e.g., SSN, driverβs license data) with strict adherence to security protocols β Comply with all confidentiality agreements and data protection policies β Utilize secure systems for document transmission and storage
